Shorts
Shorts bring a familiar social media-style experience to your platform, connecting users with short-form videos. They are an engaging way to display on-the-go video content, playing in full-screen portrait mode on mobile devices. Creating Shorts is straightforward and seamless, with editors having the flexibility to upload directly from their Employee App, Intranet, or Studio.
Task Management
The new Task Management feature enables frontline employees to create, assign, organize, and track tasks directly in the application. By centralizing all task activities, it streamlines processes, ensures accountability, and fosters collaboration. Designed for frontline teams, Task Management is accessible on both mobile and desktop to keep everyone aligned.
Plugin Redesign
Plugins have received a visual and functional refresh that aligns with the Studio’s streamlined look and lays the foundation for future enhancements. All custom plugins and most Studio plugins gain a redesigned overview page, search, pagination, full-page layout, and improved settings. The Q3 improvements to Pages are leaving beta, with a duplication function.
Self Service SSO
Managing secure logins just got easier! With the new SSO feature, administrators can set up and manage Single Sign-On for their Staffbase platform directly in the Studio. The feature supports both SAML and OIDC protocols, eliminating the need to rely on Support or your Customer Success Manager for SSO configuration. This means faster onboarding and stronger security.
Global Emails Hub
Access all your emails in one place with the new Emails hub in Staffbase Email. It provides a central view of all drafts, sent, and scheduled emails without having to navigate to the specific folder they are created in. Quickly search, filter, and sort while seeing only what you have access to. For space administrators and above, the hub adapts automatically to the selected space.
Analytics Dashboard Tabs
The Pages, Hashtags, and Search tabs in the Analytics dashboard are leaving beta, giving editors deeper insights into your App and Intranet. The Pages tab provides insights into overall and individual page performance. The Hashtags tab displays how your employees use hashtags across news posts, pages, and comments. The Search tab helps analyze search behavior by term, frequency, and unique users.
Self-Service Domain Management
Administrators can now easily set up and manage organization-branded subdomains directly in the Studio. Replacing the default Staffbase domain boosts your brand identity and unlocks secure media hosting, media request handling, and email tracking. Clear setup stages make configuration transparent and straightforward. Once active, set your custom domain as primary, and you’re good to go.
Self-Service AI Settings Page
Managing AI features on your platform just got simpler with the introduction of the Self-Service AI Settings page. You can now use intuitive toggles to activate or deactivate AI features as needed. No extra activation required. The AI features available to you depend on your solution packages, giving you the flexibility to tailor the experience to your platform.
Individual Page Analytics
Individual Page Analytics give editors detailed insights into how each page performs in your platform. Deep dive into page metrics with easy-to-use graphs and comprehensive tables showing data by user group, traffic source, clicked links, and time spent on a page. These insights help identify who is viewing the page and what can be done to improve the page’s performance.
Group Builder
Groups management just leveled up! The new experience is out of beta, offering powerful enhancements for administrators, including CSV support for adding users to manual and open groups, plus filters and sorting. Managing groups is now simpler, with a faster setup that makes group building more efficient than ever. Need time to switch? You can opt out until January 31, 2026.

Spaces Improvements
The improvements to Spaces are now available for all customers. A new, streamlined Spaces Overview page has been introduced under Settings, making it easier than ever to create and manage spaces. From this intuitive overview, administrators can add new spaces and view all existing ones in a clear, searchable, and sortable table. The overview also highlights which channels each space is assigned to: App & Intranet, Email, or both.
Enhanced Branding Settings for Bottom Navigation Bar
As an administrator, you can now define the active menu color for the bottom navigation bar on mobile devices in the Branding settings of the Studio. This improvement enhances your App’s look and feel, making it easier for users to navigate to different types of content.

The fonts and icons used in the Employee App and Intranet have been improved, introducing a more modern look and feel.
Blocking Approvals
Now automatically available, Blocking Approvals lets you take complete control of your publishing process and safeguard your content quality and compliance. Activate approval workflows on a per-channel basis to ensure that only reviewed and approved content gets published. Designed to prevent unauthorized publishing, this feature empowers teams to maintain consistency while applying oversight exactly where it matters most.
Improved Mobile Menu
The improved Mobile Menu is now automatically available on all mobile apps. It features a modern design that enhances usability, accessibility, and overall user experience. Users can open it via the menu icon in the bottom navigation bar. Collapsible news pages provide a cleaner overview, while the unified header ensures consistency across iOS and Android. Out-of-the-box branding adapts automatically based on your platform's background color.
Email CSV Export in the Analytics Dashboard
Email performance data can now be downloaded directly from the Email tab in the Analytics Dashboard for further analysis. This improvement makes data easily available to folder editors and up, helping identify what strategies drive success and where there’s room to improve.
Real-Time Collaboration
Real-time collaboration in Staffbase Email is now out of beta! Multiple editors can simultaneously edit the same draft without encountering version conflicts. Perfect for urgent communications, this feature streamlines content creation and ensures seamless teamwork.
Device Type Statistics
Device type statistics let editors filter open and click data by Mobile, Tablet, and Desktop. Gain insights into how your audience engages across devices to improve timing, design, and strategy to ensure your emails reach readers in the most effective way.
CSV Upload for Custom Target Groups
Custom groups in Staffbase Email are now generally available. Editors can upload a CSV file to create targeted audiences within a folder's recipient pool. Choose between all users, groups, or custom subsets, with recipient totals displayed for full clarity when tailoring communications.
Space-Specific Template Galleries
Email template galleries can now be assigned to specific spaces. Templates from these galleries are only available in their assigned spaces, giving system-wide managing editors and up more control to restrict usage and manage availability according to company needs.
Improved Folder Permissions
A new folder setting lets all global roles, as well as space and folder administrators, restrict folder editors from sending or scheduling emails. Restricted folder editors can still create drafts and send test emails, but only folder administrators and up will retain full sending permissions.
Personalization Enhancements
Email Enterprise customer editors can now tailor emails with custom data such as location, role, event, or any other fields via CSV upload. They can add single-use tags from the uploaded data, enabling more targeted and relevant communication that goes far beyond first and last name personalization.
Activation
Enhanced Branding Settings for Menu Bar
As an administrator, you can now define the menu background and menu item text colors independently of the navigation header color in the Branding settings of the Studio. This update gives your Intranet a cleaner, more distinctive look and improves navigation for users. If you have the redesigned Intranet menu, the new menu bar settings are automatically available.
Read Times
Email Read Times reveal how long recipients engage with your emails, helping distinguish between quick glances and deeper reads. As a valuable addition to existing Staffbase Email analytics, this feature enables editors to better understand audience behavior and improve content strategy.
Beta With Activation
ServiceNow Ticket Widget
Easily stay on top of your ServiceNow tickets with the Staffbase ServiceNow Ticket widget. In addition to IT Service Management (ITSM), the widget now supports HR Service Delivery (HRSD) and Customer Service Management (CSM) tickets and tasks. With just one click, you can jump directly into ServiceNow to manage or track your tickets.
Absence Widget Notifications
As part of the HR integrations enhancement, the Absence widget now shows notifications. Notifications are enabled by default to keep employees informed, but users can turn them off anytime in the App’s notification settings.
Improved Menu Hierachy
The enhanced menu hierarchy offers greater flexibility in structuring your navigation. Any menu item, except news pages, can now include subordinate items. This means that any menu item can act as a folder to group related content, and even spaces can be added as child elements anywhere in the menu. This improvement streamlines information architecture, removes the need for folder workarounds, and makes it easier to intuitively organize complex content structures.
Major API Releases Since June 2025
Since June, we've released several powerful new APIs and enhancements to help you better integrate, automate, and customize your Staffbase experience.
Among the highlights is the Groups API, which lets you manage groups programmatically, making group administration more seamless. The Media API now includes two new endpoints, providing you with greater flexibility in managing your media assets. In addition, the User API has been expanded with new endpoints and updated versions of existing ones, enabling more sophisticated user management capabilities. To understand how Staffbase approaches versioning, make sure to read the Staffbase API versioning policy.

- In the Hashtags tab of the Analytics dashboard, hashtag metrics have been improved to give a better overview. Previously, each case version of a hashtag was counted separately. Now, all variations of hashtags are merged and counted as a single hashtag, ensuring cleaner and more accurate analytics.
Mobile App Bugfixes
- In News on iOS devices, resending a push notification for an already published news post ignored a user’s in-app notification settings, sending notifications even when they were deactivated. This has been fixed, and user preferences are always applied.
Staffbase Email Improvements
- From the Email editor toolbar, you can now easily add subscript and superscript to your email drafts. Perfect for inserting trademarks ™, copyright symbols ©, footnotes, or accurate chemical formulas H₂O, and mathematical notation.

- In CSV Import, now you have the option to download the changelog in the Preview step. This makes it easier to review and share the changes before completing the import, ensuring greater transparency and reducing errors.
- The Sign In button in the App or Intranet has been moved to the top of the public area, above the menu navigation, to improve the user experience.
Staffbase Email Improvements
- The calculation of email open rates has been refined. It is now based on the number of unique opens divided by the number of delivered emails, rather than the number of sent emails. This update provides a more accurate representation of your open rates.

- In Analytics, the User Group filter was not visible to managing editors. This has been fixed.

Saving settings for the News Central Web Part v4.0.0.0 in SharePoint did not always work when using a SharePoint root site. This caused URLs in Staffbase Email notifications to sometimes open in an incorrect environment. This has been fixed. If you continue to experience issues, reset and save your settings in the web part.

App and Intranet Improvements
- Recovery and access codes are now generated based on your configured password length and complexity settings.
- When administrators open the Recovery Code dialog in the Studio, any existing valid recovery code is automatically displayed. This ensures that new recovery codes are only generated when necessary.
- In the Studio, the Settings page is now newly organized and categorized to improve the user experience.
- In the Studio, when configuring the Workday integration, there is now an additional step between the configuration and mapping stages. This step ensures that large datasets are synced in time, preventing timeout errors.
- In the Studio Settings, under Microsoft 365, the workflows for the Power Automate connector have been removed. Existing flows based on these examples remain unaffected and continue to run as expected.
- A cookie consent modal is now displayed when using the Maps plugin. Employees must accept the modal in order to view the map and enable cookies from Google Maps.
- The ServiceNow ticket widget has been streamlined for a cleaner user experience. It now:
- Displays the closed items via filter options and not by default.
- No longer displays ticket priority and status filter options.
- Supports additional modules, including ITSM, HRSD, and CSM, with a new filter to sort tickets by type.

- Article images in the public area were displayed with incorrect cropping. This has been fixed.
- In News Central for SharePoint, forward and backward navigation arrows were sometimes shown even when no additional content was available. This has been fixed.

The latest updates to Staffbase Email give your editors and administrators more power, flexibility, and control over your communications. From smarter audience targeting to enhanced management of bounces, these improvements are designed to make your email communication more impactful than ever.
Staffbase Email Improvements
- Editors can now add custom target audiences by uploading a CSV file of specific recipient email addresses. This allows more precise audience targeting.
- Administrators can monitor and manage bounced emails directly in Studio, helping improve deliverability. Staying in control of your email reach is now simpler and more effective with detailed insights per email and in a centralized bounce hub.
- Staffbase Email has introduced a new role, Template Administrator. This role has full template rights, including viewing, creating, editing, deleting templates. In addition, they can manage galleries, and assign template admin rights.
- Group administrators can bulk manage members of open and manual internal groups by importing a CSV file to add or replace users, using only their identifier.
- Administrators, Managing Editors, and Space Administrators can now delete folders.
- Editors can crop images directly in the Staffbase Email Designer.
- Editors can now adjust the text and button colors and the layout of an alignment survey within an email.

App and Intranet Improvements
- In some cases, files of the same type could not be replaced in the File Manager, often affecting office document types such as Word or Excel. This has been fixed for new uploads.
- In Journeys, when setting a starting point, you can now configure Journeys to start as soon as pending users are added to a connected group. Notifications remain paused until registration is complete. Staffbase recommends enabling the Journey Navigator view for those Journeys, so employees can easily review any steps they missed while pending.
- In Journeys, the permissions for the Journey Navigator have been updated. Administrators and Managing Editors can now activate or delete the Journey Navigator, change its title, decide whether a Journey is displayed in the navigator, and edit the landing page.
- In the app, the menu now displays an arrow for folders that have child items.

- In the user management in the Studio, the Reset Password button was not displayed for users with a personal email address. This has been fixed.
Mobile App Bugfixes
- On iOS and Android devices, the first letter of post titles in Top News were not fully aligned. This has been fixed.

- In the new Groups management, you’ll find the following enhancements:
- Filtering options: Narrow down results more easily by filtering groups based on type or creator.
- Flexible conditional groups: Define conditional groups using partial CSV tags as conditions, giving you greater flexibility when creating them.
- In Briefings, you can now create news posts using AI. Posts are automatically generated in the languages added to the briefing and based on the information it contains. Contact Staffbase Support or your Customer Success Manager to activate this feature.
- In the Content section of the Studio, the Marketplace design for adding new plugins has been improved. Colors and icons have been refreshed, while maintaining the existing functionality.
- When creating users via email, if you send an invitation, the access code expires after 48 hours. However, if you do not send an invitation, the access code does not expire.
App and Intranet Bugfixes
- In the new Groups management, the following issues have been fixed:
- Renamed groups were sometimes not findable in other areas of the platform.
- Group administrators were not able to add pending users or contacts to manually managed groups.
- In the Language Settings of your App or Intranet, the Save button displayed its language string name instead of the correct label. This has been fixed.
Staffbase Email Improvements
- The maximum file size for uploading fonts has been increased from 5 MB to 25 MB.

- In the Studio, custom fonts with long names were not displayed optimally. This has been fixed.

App and Intranet Improvements
- In the Content section of the Studio, the design for the Marketplace to add new plugins has been improved. The colors and icons have been updated, while maintaining the existing functionality.
- The minimum password length for signing into your app or intranet has been increased to 8 characters. Previously the minimum was 6 characters. This change ensures that your platform's password settings comply with modern security standards. This does not affect passwords, but if you update your settings in the Studio, you need to adopt the new password character limit.
- When inviting users to the platform, the invitation code in the invitation email now expires after 48 hours. This reduces the risk of unauthorized access in case of potential breaches.
- In News, when requesting a content review, a note now displays if you’re mentioning a reviewer who does not have access to the post. From there, you can share the post with them immediately. Additionally, the sharing modal has been improved for a more intuitive experience.
App and Intranet Bugfixes
- In Groups, the Add members button within a group was not functioning as expected. This has been fixed.
- On Pages, in the Microsoft 365 Document Library widget, clearing the search box did not refresh the search results. This has been fixed.
Mobile App Bugfixes
- In the App, in some cases, the header branding was not displayed when using Offline Mode. This has been fixed.
Staffbase Email Improvements
- In Profile Fields for Email standalone customers, there is now a toggle to activate the profile field as a filter for survey results.

- In Campaigns, when Alignment Surveys are activated for your organization, you can now generate the Alignment Survey question using AI.
- For Campaign Managers, clicking the Planning tab now leads to the Planning Overview page. The page provides insights on planned content, active and upcoming campaigns. It also has an overall introduction to campaigns and a set of predefined campaign templates.
- In the Pages Overview, if you have the modernized pages beta, the Page Update Reminder icon now displays.
- In the Pages Overview, if you have the modernized pages beta, you can now see the total number of pages in the list view.
- In the Calendar plugin, the Open in Maps button for an event has been removed. The removal ensures compliance with data protection regulations.
- In the CSV Import, you can now bulk reactivate users when uploading a full CSV file.
- In the User Settings, you can now select between German or English for the invitation email when inviting new users.
App and Intranet Bugfixes
- In News, in some cases, channels reordered via drag and drop were not saved. This has been fixed.
- In the CSV Import, in certain cases, some valid errors were not displayed and updates were incorrectly displayed. This has been fixed.
- When generating recovery codes without a custom expiration date, in certain cases, an error message was displayed. This has been fixed.
- In the User Settings, when opening the group settings and navigating back to the overview of groups, the search and filter queries were not kept. This has been fixed.
Mobile App Improvements
- In Chat on iOS and Android devices, the message notifications have been improved. Clearer badges for unread message and reactions make it easier for users to spot and respond to new activity.
