Redesigned Search
Now leaving beta, the redesigned search results page and search flyout ensure a more intuitive experience. The results page offers dedicated integration sections, improved sorting and filtering, and many other improvements. The upgraded search flyout now prioritizes top results, followed by users and integrations. Additionally, users can now quickly revisit their five most recent searches, ensuring a seamless experience.
Search Integrations
Box, Confluence Cloud, Google Drive, and ServiceNow search integrations are now leaving beta. These integrations bring your favorite productivity tools closer to your Staffbase platform. As an administrator, you can now set up individual integrations for each tool, enabling your users to seamlessly search for content in those tools from the comforts of your Staffbase Search.
Blocking Approvals for News
Take complete control of your publishing process with Blocking Approvals — your safeguard for content quality and compliance. Activate approval workflows on a per-channel basis to ensure that only reviewed and approved content gets published. Campaign Improvements
Simplify Campaign planning with our latest improvements! Improved Mobile Menu
The improved Mobile Menu is leaving beta with a modern design to enhance usability, accessibility, and user experience. Users can open it via the Menu icon in the Bottom Navigation Bar. Collapsible News Pages offer a cleaner overview, and the unified header ensures consistency across iOS and Android. Out-of-the-box branding adapts automatically based on your platform's background color. The Mobile Menu will be available through a staged rollout.
SMS
Now leaving beta with multiple improvements, Staffbase SMS lets you deliver urgent updates straight to your employees' mobile devices. Seamlessly integrated with Twilio, it’s ideal for reaching frontline and deskless teams. It offers targeted sending, clear cost visibility with a character and segment counter, and SMS opt-in/out management for admins and users. Boost real-time communication, all directly from the Studio.
Sign-In via Passkeys
Say goodbye to passwords! Staffbase now supports passkeys to let users sign in to their App or Intranet with just a fingerprint, facial recognition, or device screen lock. Once set up, passkeys make every future sign-in fast, secure, and effortless. Welcome to a smarter, smoother way to access your platform!
Workday User Management Integration
Staffbase now offers Workday integration in Staffbase Studio, enabling automatic user synchronization every 24 hours. This simplifies user management by keeping employee data consistent and up to date across your HR system and communications platform. No manual updates are needed. It's a simple, reliable way to keep your platforms in sync.

Menu Export
User roles with access to the menu can export the App and Intranet menu structure as a CSV file. They can export menu entries from a single space or from all spaces at once. Exporting the menu is particularly useful for getting a holistic overview of the menu structure across the mobile and web app. Additionally, it helps editors identify which quick links are used on the mobile app.

Bottom Navigation Bar
The Bottom Navigation Bar will now be available automatically in all Employee Apps. Designed for mobile users, it provides quick access to key areas of the app and includes a new Menu icon for easy navigation. The customizable individual quick links give direct access to specific content in the platform. The Bottom Navigation Bar will be available through a staged rollout.

Staffbase Email Metrics in Smart Impact
Staffbase Email metrics are now included in Smart Impact, both in the Campaigns tab of the Analytics dashboard and the Smart Insights dashboard for Campaign Managers. This provides a more comprehensive view of campaign performance by integrating email metrics to better track and optimize campaign content. In the Campaigns tab, Campaign Managers can now see visibility metrics for both emails and posts. In the Smart Insights dashboard, email data is included in the Time Series Chart and Visibility Tile.
Alignment Surveys in Staffbase Email
Alignment Surveys for Campaigns let editors add a scale-rating survey to content assigned to a campaign. You can now add Alignment Surveys as a block into an email to better understand how employees perceive a campaign message and monitor changes over time. Survey results are available in the Smart Insights dashboard, allowing you to measure the alignment of your audience via different channels.
Microsoft Media Improvements
Great news for Microsoft 365 users! The Microsoft Stream Video and Microsoft 365 media dropdown integrations are now officially out of beta! As an editor you can use videos stored in SharePoint as a cover for articles and media posts, or embed them directly into articles and pages. These updates make creating dynamic, interactive content in Staffbase easier than ever.
Microsoft Teams in User Profile
Microsoft Teams in User Profile is now out of beta, making Staffbase your gateway to seamless communication. Empower teams that rely on Microsoft Teams daily by enabling one-click access directly from user profile pages. Start a chat, audio, or video call with a coworker instantly and effortlessly.
Offline Mode for Pages
No internet? No problem! Offline Mode allows employees to download pages in the Employee App, giving them access to text, images, and PDFs anytime, anywhere. Now leaving beta, this organized offline overview ensures quick access to role-relevant content, ideal for those in remote areas, warehouses, or offshore locations. This feature puts essential information at your employees’ fingertips, keeping them informed and empowered no matter where work takes them!
File Upload in Chat Conversations
Seamlessly share documents while on the go. Employee App users can now upload files like PDFs, XLS, and DOCs directly from their mobile phones into chat conversations. Empower your frontline employees to share or receive critical documents right within the Employee App, keeping communication efficient and workflows smooth.
Tablet Usability Improvements
Elevate the tablet experience for your employees with a more spacious and user-friendly interface designed specifically for tablets. This update optimizes usability by maximizing tablet screen size, delivering a seamless and enhanced experience perfectly tailored to larger displays.

Floating Navigation
We’ve redesigned the Intranet header and navigation for a cleaner, more modern experience. The app header now disappears on scroll, while the menu, edit, statistics, and manage buttons float above the content for easy access. This update, currently only available to organizations new to the Staffbase platform, improves usability while keeping key actions within reach as you navigate.
Multi-Factor Authentication (MFA)
Enhance sign-in security with multi-factor authentication (MFA) for users signing in with an email/password or username/password. After entering their credentials, users are required to verify their identity with a 6-digit code sent to their email. This adds an extra layer of security to your App and Intranet accounts.
ServiceNow Ticket Widget
Easily stay on top of your ServiceNow tickets. Designed for users who need quick access to ServiceNow tickets from the convenience of their App or Intranet, the ServiceNow Ticket widget keeps all of your requests within easy reach. With one click, you can jump directly to ServiceNow to manage or track your tickets, keeping everything you need at your fingertips.
Improved Mobile Search
The mobile search experience has been significantly enhanced for better usability and accessibility. A more prominent search icon is now available in the start page header, and search results have an improved visual design for better clarity. Users can seamlessly access third-party content from integrations via Google Drive, Microsoft 365, Confluence, Box, and ServiceNow. New search categories for Forms & Surveys and Calendars & Events provide more refined results. Additional enhancements include content descriptions for better context and a Last Searches feature for quick access to previous queries.
Major API Releases Since January 2025
Since January, we've released several powerful new APIs and enhancements to help you better integrate, automate, and customize your Staffbase experience.
Highlights include four new search endpoints that enable seamless integration of Staffbase content into federated search solutions, and the new Search Settings API, which lets you tailor the redesigned search results page to fit your organization’s needs. The Email Performance API helps you run data-driven email campaigns, while the enhanced Spaces API streamlines space management across platforms. Track employee engagement through post acknowledgements using the improved News API.

App and Intranet Improvements
- In the Comments overview in the Studio, it is now possible to filter by date range, and download comments via CSV. With this improvement, the comment overview is now also automatically filtered by the last seven days.
- In the Studio, Administrators can test the new user management experience with the Try new experience (beta) button. You can switch it back to the old experience at any time.
- The Ideas Portal now includes two new categories: In Development and Recently Released. These additional categories offer better visibility into the status of submitted ideas, whether they’re under evaluation or already implemented. Additionally, there’s a new Email tab where you can view and vote on ideas specifically related to Staffbase Email.
- Staffbase has a new content language, Basque (Spain). Editors can now create content in this language.
- In Campaigns, 24 hours after creating a campaign without an alignment survey, Campaign Managers receive an email reminding them to add one. The email includes a link to the Edit Campaign page.
- In the Campaigns overview and details page, Campaign Managers without content permissions now see a message stating why they can’t create content inside of the campaign.
- In Campaigns, if you’ve just started using the feature, the start page now guides you through the first steps.
- In File Manager and My Files, the file date format has been updated to match the international format used in the Studio. It is also possible to sort files by the number of uses and size. Sorting by updates now also reflects file replacements.

- In the Studio, clicking the Settings icon opened to a random page within the settings section. This has been fixed.

App and Intranet Improvements
- Users who have not set an avatar image now see their initials, based on their first and last name, instead of the default gray icon.
- On the News post overview page, if Campaigns are activated for your organization, you can now
- Filter visible news posts by campaign assignment (assigned, not assigned)
- Assign news posts to a campaign using the more options icon or adjust the campaign assignment
- On the overview page of Campaigns, if Alignment Surveys are activated for your organization, a filter for alignment surveys has been added. This allows you to narrow down campaigns with active, inactive, or without alignment surveys.
- In the Studio, when accessing the profile dropdown, the dropdown now better accommodates users with long email addresses, ensuring a cleaner and more consistent display.
- On the Content Languages page, the help text under On-Demand Translations has been enhanced to offer clearer guidance.
- In the new CSV Import, the user interface has been improved to make configuring and performing import tasks more intuitive and efficient.
- In the File Manager, the context menu option to remove a file from a collection is now available.
- In Surveys, the question layouts and results views for users have been improved for better usability and consistency. This includes improved question interactions, input styles, and error handling.
Staffbase Email Improvements
- You can now request the verification for multiple domains from which you can send your emails. Staffbase sets up the additional domain(s). Contact Staffbase Support or your CSM to set up additional domains.
- It is now possible, to request more than one combination of Sender Address and Reply-to Address for Staffbase Email.
- You can now add personalization tags into the email body to automatically greet each of your recipients by first and last name in your emails.
- Staffbase now offers Workday integration for contact management, enabling automatic contact synchronization every 24 hours. App and Intranet Improvements
- In the File Manager:
- File insights are now available for all file types, providing additional metadata.
- Some labels and descriptions for Collection settings have been updated to more accurately reflect their functionality.
- The All Files tab now displays first and is positioned before the All Collections tab, allowing quicker access to your files.
- In the Editorial Calendar, if Campaigns are activated for your organization, you can now directly assign newly created posts to a campaign.
App and Intranet Bugfixes
- In the post editor in the Studio, navigating back redirected users to the first channel in their list. This has been fixed.
Mobile App Bugfixes
- In News on iOS, when images were opened in full screen from the image gallery, only a grey box was displayed. This has been fixed.

- In Campaigns, you can now:
- Filter campaigns by status on the overview page.
- Add an alignment survey directly during creation and editing.
- In the File Manager, each file's context menu now includes the Add to Collections option, allowing you to add files to other collections with a single click.

- In the Studio, in some cases, clicking on a news post title opened the post editor in a new tab. This has been fixed.
- In the Staffbase News Central web part for SharePoint, image thumbnails did not always appear sharp due to source image size variations. This has been fixed.
Mobile App Bugfixes
- On Android devices, PowerPoint and other Microsoft Office files could not be opened from search results. This has been fixed.
Staffbase Email Bugfixes
- In the Staffbase Email Designer, the support button partially obstructed the settings panel. This has been fixed.

App and Intranet Improvements
- In Campaigns, you can now sort the campaigns listed in the overview by title and creation date, in both ascending and descending order.
- In the Studio, only system-wide administrators were allowed to access Screens. Access is now available to system-wide editors and managing editors as well.
App and Intranet Bugfixes
- In the News Stage widget, a missing color gradient in embedded external videos caused a visual inconsistency. This has been fixed.
- In the File Manager, in some cases, group assignments were not saved when setting permissions for Collections. This has been fixed.

- External Content is no longer in active development and will be deprecated on February 28th, 2025.
