Templates are reusable layouts or foundational building blocks for commonly sent emails. They are ideal for ensuring consistency by using placeholder images and texts to guide all future communications. By streamlining email creation, templates speed up the process of crafting recurring communication.
Creating a Template
Staffbase Email allows you to choose between designing a completely new layout or modifying a pre-existing template using the Staffbase Email Designer.
It is possible to create a template from scratch in the Templates section of Staffbase Email using the Email Designer. This process is detailed below. In addition, you can create a template while creating an email or by saving an existing email draft as a template.
- In the Studio, navigate to Email > Templates > Create > New Template.
- Enter a Name.
- From the dropdown menu, select a Gallery to save the template in.
- Click Next.
- Select Email Designer.
The Email Designer opens. - Create the template.
- Click Save Template.
You have successfully created and saved a template from the Template section of Staffbase Email. You can edit or delete the template at any time.
- In the Studio, navigate to Email > Templates > Create > New Template.
- Enter a Name.
- From the dropdown menu, select a Gallery to save the template in.
- Click Next.
- Select Use an Existing Template.

The Staffbase Email Designer opens. - Edit the template content.
- Click Save Template.
You have successfully created a template by using an existing one. You can edit or delete the template at any time.
- In the Studio, navigate to Email > Templates > Create > New Template.
- Enter a Name.
- From the dropdown menu, select a Gallery to save the template in.
- Click Next.
- Select Text Editor.
The Staffbase Email Designer opens in text editor mode. - Create the template
- Click Save Template.
You have successfully created a template from the Template section of Staffbase Email. You can edit or delete the template at any time.
Creating a Template Gallery
- In the Studio, navigate to Email > Templates.
- Click Create > New Template Gallery.
- Enter a Gallery Name.
- Optionally, enter a Description.
- Click Create.
You have successfully created a new template gallery. When creating a new template, you can now select this gallery to store the template in.
Editing a Template
- In the Studio, navigate to Email > Templates.
- Click the three dot menu next to the template you want to edit to open the dropdown menu.
- Select Edit.
The Staffbase Email Designer opens. - Edit the template.
- Click Save Template.
You have successfully edited a template.
Adding a Cover Image to a Template
- In the Studio, navigate to Email > Templates.
- Click the three dot menu next to the template you want to add a cover image to open the dropdown menu.
- Select Add Cover Image.
The My Files dialog opens. - Select the image you want to add as a cover image.
- Click Add Files.
You have successfully added a cover image to a template.
Deleting a Template
You can easily delete a template when it is no longer needed. Deleting a template cannot be undone, and deleted templates cannot be restored.
- In the Studio, navigate to Email > Templates.
- Click the three dot menu next to the template you want to delete to open the dropdown menu.
- Select Delete.
The Delete Template dialog opens.
- Click Delete.
You have successfully deleted a template.
