For frequently used approval workflows, you can create approval rules in Communications Control. Once defined, you can apply all the settings from the approval rules to the approval request with just one click.
To create an approval rule, open the Team Administration and click on the Advanced tab on the sub-item Approval rules.
This opens a view in which existing rules can be displayed as well as new ones created.
Click on the pink plus button to open the creation mask for approval rules. Here, you have three areas where you can define the rule:
1) Information
In this section, you have to name your approval rule. We recommend that you use a unique title so that you can identify the appropriate rule when you later select your approval rule (e.g. "Approval Request CEO Posts").
You can also leave a comment to the approvers so that they are well informed.
Finally, you have to define for which area(s) the rule should be applied. The modules Content, Idea, and Dialog are available for selection.
2) Settings
In the second point, Settings, you have to enter obligatory users. In addition, you can enter optional users and use the slider to determine the number of minimum positive votes.
Using the switcher, you can also set that the approval is rejected if only one negative vote is given.
Last you may set a time limit for the approval (in hours).
3) Actions
In the third and last section, you can finally define which actions should occur when an approval is granted or rejected.
Please note that different actions are available depending on the usage areas (point 1) you have selected:
Contents: Add tags, Send email, Change content status, Share with other teams
Ideas: Add tags, Convert idea to content, Send email, Share with other teams
Dialog tickets: Add tags, Assign dialog ticket, Send email, Send ticket reply, Change ticket status
After you have added all the information, click Save.
Your approval rule is now available in the overview as well as in the idea, content, or dialog ticket.
