Entity permissions help you to restrict the rights of roles, groups, or individual users created in Communications Control with regard to content, topics, and events. They serve as an extension of the permission levels that you can make within the role management. However, the settings made there only apply to roles, not to groups or individual users. Thus, object permissions offer the possibility of restricting access at group and user level as well.
Entity permissions are not included in every Communications Control package and, therefore, have to be added for a fee in some cases. Please contact the support or your Customer Success Manager.
If entity permissions are included in your package, follow these instructions to set them up:
-
Open entity permissions
Open the team administration and click on the sub-item Entity permissions in the Basic tab.
Entity permissions can be set up in this area for three different modules: Content, Topic, and Events.
-
Add entity permissions
To add an entity permission, click on the empty field below the column Role/Group/User. Now select the desired user, group, or user role from the dropdown menu.
-
Set basic permissions: read/edit/manage
In the three columns on the right, you can define which rights the user, group, or role has regarding content, topics, or events - depending on which column you are currently in. You can choose between three permission levels here: read (always active and therefore greyed out), edit, and manage.
-
Set up locks for individual fields (optional)
By clicking on the lock that appears on the right-hand side, as soon as you tick Edit or Manage, you can determine the fields that are to be locked in the course of entity permissions.
In the pop-up that opens, you can lock different fields - depending on which column you are in (content, topic, or event).
Content column: Lock settings for content and Facebook Ad profiles.
Topic column: Lock settings for content and topics
Event column: Lock settings for events
Click on the arrow on the right to expand all the fields of the respective module that can be locked.
Once all the desired fields have been selected, simply click on Ok to save the settings.
-
Save created entity permissions
After you have set up all entity permissions for the corresponding module, click on the Save button in the overview. All created entity permissions within which fields have been locked now have a blue-colored lock.
Deleting entity permissions
If an entity permission is no longer needed, it can be deleted by clicking on the trash can icon in the corresponding line.
Setting up entity permissions for selected content, topics, or events
To restrict access to and administration of individual contents, topics, and events, entity permissions can alternatively be applied to selected measures. To do this, click on the option Edit permissions in the three-dot menu next to the respective measure.
In the pop-up that opens, you can make the same settings as in the team settings. In addition, you have the option to add a time frame to the restriction, i.e. to specify a start and end time for the restricted access.
To save the permission, click on Ok as in the instructions above. The permission then takes effect for the selected user, role, or group.
View for users with entity permission restrictions
We will now look at how users to whom entity permissions have been applied see the content detail view.
For this purpose, the settings from step 4 of the instructions have been locked in the entity permissions as an example: Channels, Status, Content Type, and Publication Date.
As you can see, the user can see all the information but cannot edit the previously locked settings, as they are greyed out and marked with the corresponding icon from the entity permissions.
