The Navigator is an AI-powered workplace guide built into the Staffbase App and Intranet. Employees get direct, accurate answers to everyday questions from existing platform content. No more searching, clicking, or calling specific departments.
This guide, together with explanatory videos, takes you from understanding the Navigator to configuring your Navigator's personality and knowledge, and publishing your first AI-ready page.

Know: Feature Overview
Your employees have questions every day. This video shows why that matters, who it affects, and how Navigator delivers the right answer to every employee, on any device, in any language, the moment they need it.

Start: Feature Activation
To set up your Navigator, you first need to activate the feature in Settings > AI Hub > Navigator and toggle Navigator on.

Once you have activated Navigator in Settings, go to Content > Navigator to begin configuration. You will find the Overview tab that gives you a summary of your current Navigator configuration and quick links to each configuration area you want to customise.

The Identity tab is where you define how Navigator presents itself to your employees, from its name and greeting to its tone and voice that shapes every response.

The Knowledge tab controls which content Navigator draws from to answer questions, including Spaces, Pages, News Channels, and the Employee Directory.

The Helpers tab is where you set up Experts and Conversation Starters that help employees begin a conversation from the moment they open Navigator.

The Glossary tab holds up to 40 organisation-specific terms and abbreviations that Navigator uses to understand context and generate more accurate, consistent responses.

Settings
The Settings tab controls who can see and manage Navigator, how employees provide feedback on responses, and how conversation data is handled. By default, Navigator is not visible to users. You need to configure Visibility, Admin Access, User Feedback, and Privacy Settings before going live.

Navigator analytics are available in the Analytics dashboard under the Navigator tab. Use these insights to identify knowledge gaps and improve your content over time.

Prepare: Is Your Content Ready for Navigator?
Navigator automatically splits your content into sections of 200–500 words, finds the most relevant ones, and generates an answer. The quality of that answer depends entirely on how clearly your content is written and structured.
The examples below show how the same content produces very different Navigator answers depending on how it is written.

Important: Navigator only answers based on content published in your platform. Vague, outdated, or duplicated content leads directly to vague, wrong, or contradictory answers. No configuration setting can compensate for poor content quality.
A clear, instructive platform structure and content produces a clear, instructive answer. Every improvement you make to your content makes Navigator more useful for every employee who relies on it. Start small, test often, and build from there. Your Navigator gets better every time you do.
