This article gives an overview of the different types of email address fields available for users in the Staffbase platform. These email fields are used for different purposes, such as sign-in, integrations, and more. It's important to note that the types of email fields used in your platform can vary depending on the specific needs of your organization and how you have set them up for your platform.
The following are three different types of email fields a user can have:
Primary Email
The primary email field stores email addresses used for the sign-in process to the platform. These are some of the most important email addresses. Users need a primary email in the Staffbase platform to get email notifications or reset their password via email. This email address is defined during account creation or registration. It is a meta profile field and is not listed under the profile fields in the Studio.
You can define the primary email address using one of our onboarding methods:
- Account Creation
This email address is defined when a user is onboarded using one of the following methods:
- Email and password: The administrator invites a user from the Studio by providing an email address. Learn more.
- Other methods: Your IT team maps the primary email address during one of the following methods to onboard a user:
- SCIM
- CSV Import
- User API
- SSO
In this case, the administrator can see and edit the primary email address. Learn more.
- Account Registration
By default, users are prompted to provide their email address optionally using one of the following methods during their account registration:

- Onboarding with an access code
- Onboarding with username and password
This email address serves as both their primary email and personal email. However, this email address is not displayed in the Studio or visible to administrators while editing the account details of a user. Instead, the text Personal Email Address displays, and the field is uneditable in the Studio.
This protects the user's privacy in accordance with GDPR policy. Contact Staffbase Support or your Customer Success Manager for more information.
The personal email is visible to the user under their Account Settings in their App or Intranet. Learn more.

- Prompted to provide an email address mandatorily

Different Use Case Scenarios With and Without Primary Email
The Staffbase platform is very flexible and offers different ways to reach out to your frontline and desktop employees in the best way. For this reason, your platform can be a combination of onboarding methods, supporting users with and without a primary email address.
Without Primary Email
In such a case, you can set up the platform not to request an email address during the registration process. For the desktop workers, you can provide the SSO setup.
With and Without Primary Email
You can also have a subset of your user base with a primary email address and another without a primary email address. You can onboard your frontline workers using one method and your desktop workers using another method.

- For desktop workers - Onboarding with email and password
- For frontline workers - Onboarding with an access code without email prompt during the registration
Public Email
The public email address is a system profile field that administrators can edit. A user can also edit their own public email address if the system profile field has been made user-editable. You can also make them visible on the user profiles.
Custom Email
Custom email addresses are stored in custom profile fields with Email as the input type. You can create as many custom email fields as your business needs. You can also make your team or department group email address visible on user profiles. For example, sales@yourcompany.com
