Emails built with the Email Designer in Employee Email can be downloaded as HTML or PDF files, depending on which format suits your needs better.
HTML exports are useful for hosting as webpages, such as on your intranet, for users to browse and view in their internet browsers. They can be rendered differently depending on where they are opened, so it's not guaranteed it'll always look the same.
HTML exports are not recommended for anything other than proofing or archival purposes. Attempting to send an HTML file as an email can have negative consequences with formatting, and won't be tracked.
PDF exports are useful for printing and archiving purposes. They are pre-rendered, so should look the same no matter what software or device is being used to open them.
Download an Email Draft or Template
- While editing a draft or template in the Employee Email web app, click the Download Options icon.
- In the dropdown menu that opens, select whether you want to download a PDF or HTML file.
Download a Sent Email
To download a copy of a sent email, you must first create a draft from it.
- Sign in as the account that sent the email out.
Anyone can sign in conventionally with a set of shared credentials, for example, an account corresponding to a shared email address.
If you have a Employee Email account with Manager permissions or above, you are also able to sign in as other users in your organization.
If the email was sent from a different account than the one it was built in, you may not have permission to download it. You can try signing into an account with higher permissions or reach out to Staffbase Support or your Customer Success Manager who can recover it for you. -
Navigate to Email > Sent emails.
- Click to view details about the sent email that you want to download.
- Click Create Draft.
- Name the draft and click Next.
- Click the Download Options icon.
- In the dropdown menu that opens, select whether you want to download a PDF or HTML file.
