Although they are similar, Drafts and Templates have two unique functions in Employee Email.
- Drafts are a one-time send, containing all of the content that the final email will include. This is a working document that will be prepared to send.
- Templates are the framework for an email that is yet to be filled with content. The aim of this is to save you time and allow you to focus on the content.
Create a Draft

- In the Employee Email web app or add-in, open your list of Email Designer drafts.
- Click New Email Draft.
- Create your draft from the following options:
- Your Templates - any templates that you’ve already created and saved
- Template Library - a selection of pre-built templates ready for customization
- From Scratch - build a draft from the ground up
Choose Email Designer 3 to create custom content block layouts - recommended
Alternately, choose Rich Text Editor to work with your own pre-built HTML
- Type in a name for your email draft.
By default, the web app will copy this name as the Subject line of your email.
You can edit the Subject line before sending it. - Click the save icon to preserve the most recent version of your draft.
The Email Designer also automatically saves any changes you make every 30 seconds.
- Optionally, share your draft with other members of your team.
Delete a Draft
- In the Employee Email web app or add-in, open your list of Email Designer drafts.
- Click the three dots next to the draft you want to delete.
- Click Delete.
A confirmation message appears. If you are sure, click Delete here too.
Create a Template
- While editing an Email Designer draft, click the download options icon.
- On the dropdown menu that appears, select Save as New Template.
- Name your template and choose a folder you'd like to keep it in.
You are now able to create new drafts based on this template and share your template with other members of your team.
Deactivate a Template
To avoid losing your work, Employee Email templates cannot be deleted. However, they can be deactivated and hidden from view.
- In the Employee Email web app or add-in, open your list of Email Designer templates.
- Locate the template you'd like to deactivate and hover over it.
- Click the eye icon to deactivate it.
To view your deactivated templates, click View and select All or Inactive.
