Managing email unsubscription options is an important part of responsible communication. It allows you to define clear categories for your messages and decide which types of emails recipients can opt out of, while ensuring essential communications remain unaffected. This helps you strike the right balance: giving recipients control over what they receive without losing the ability to deliver critical updates. It also supports compliance with email regulations, reduces unnecessary inbox clutter, and builds trust by respecting user preferences.
Creating Unsubscription Categories on Folder Level
By default the unsubscription setting is deactivated for each folder. Folder Administrators can activate it and create up to 10 unsubscription categories per folder and specify whether emails in each category include an unsubscribe option. If the Folder Administrator created unsubscription categories, Folder Editors must choose one of the categories when sending an email from this folder. For example, newsletters typically allow unsubscribing, but important business communications may not.
- In the Studio, navigate to Email > Folders.
- Open the folder you want to edit.
- Click the more options icon. The dropdown menu opens.
- Select Settings.
The Folder Settings page opens. - Under Unsubscription Management, activate the toggle to allow unsubscription options for the folder.
The dialog expands to a table for creating categories.
- Click Create Category.
The Create Category dialog opens. -
Add a Category Title and Description.
The title and description are visible to email recipients when they use the unsubscribe option.
- If you do not want to allow unsubscriptions for this category, deactivate the Unsubscription allowed toggle.
- Click Save.
You have successfully activated the unsubscribe option for the folder and created categories with or without unsubscribe permission. Folder editors can now select the appropriate category when sending emails from this folder.
Editing an Unsubscription Category
If the unsubscribe option for a category is deactivated, previous unsubscribe preferences for that category can no longer be retained. This may result in contacts receiving emails they had previously opted out of.
- In the Studio, navigate to Email > Folders.
- Open the folder you want to edit.
- Click the more options icon.
The dropdown menu opens. - Select Settings.
The Folder Settings page opens. - Under Unsubscription Management, select the category you want to edit and click the more options menu.
- Click Edit.
The Edit Category dialog opens. - Update the category.
- Click Save.
You have successfully edited the category.
Deleting an Unsubscription Category
If a subscription category is deleted, previous unsubscribe preferences for that category can no longer be retained. This may result in contacts receiving emails they had previously opted out of.
- In the Studio, navigate to Email > Folders.
- Open the folder you want to edit.
- Click the more options icon.
The dropdown menu opens. - Select Settings.
The Folder Settings page opens. - Under Unsubscription Management, select the category you want to delete and click the more options menu.
- Click Delete.
The Delete Category dialog opens. - Click Delete.
You have successfully deleted the category. Sent and scheduled emails still show under this category. Recipients will still be able to manage their subscriptions to it.
Selecting an Unsubscription Category for an Email
If your folder administrator has granted permission to unsubscribe from emails for this folder, you must select the unsubscription category for an email before sending it.
- In the Studio, navigate to Email > the draft of the email you want to send or schedule.
- Open the email and click Next.
The summary page opens. - Under Unsubscription Category, select the category for the email.
- Click Preview to view how the unsubscribe option appears to recipients.
- Fill out all remaining fields on the summary page, and click Send or Schedule.
You have added an unsubscribe option to an email. If unsubscription is allowed for this category, recipients can unsubscribe from emails in this category.
Tracking Unsubscriptions in Email Analytics
The Email Funnel Graph in the analytics of single emails shows the number of recipients who have unsubscribed from this email category, when you hover over the Sent bar. Learn more about Staffbase Email Analytics.
How Unsubscription Management looks for Users
If an email includes an unsubscribe option, a link appears in the footer to manage subscription preferences.
When recipients click this link, they are redirected to a page displaying all the unsubscribe categories for the folder that allows unsubscribing. Recipients can then unsubscribe from one or more categories at once.
If recipients deselect a category and click Update preferences, they no longer receive emails from this category.
