The Track Changes feature enables you to collaborate with your colleagues smoothly. It is available within the idea editor, stories, and individual content types.
Track changes can only be enabled after your idea has been saved for the first time.
Enabling Track Changes
To enable the feature, open the desired idea or content. Among the editor's tools, click the pencil icon and click the toggle next to Track Changes.
The toggle will turn green. This indicates that change tracking is active.
Editing and commenting on text with track changes enabled
If change tracking is enabled and you make textual adjustments within the editor, they will be marked as follows: Added items are highlighted in green, while deleted items are crossed out and highlighted in red.
If you have questions or comments about individual passages, you can mark them with the cursor and add a comment, including a mention of the corresponding user. To do this, select the passage and then click on the speech bubble icon to the left of the tracking of changes.
This will open a small comment window directly below the marked passage, where you can enter your comment. Mentions are made as usual using @.
After the comment has been saved by clicking on the green tick, it is highlighted in yellow in the text. This way, you can immediately see what the changes are about:
Yellow: Comment
Green: Added text
Red: Deleted text
Accepting/rejecting changes
A big advantage of change tracking is not only that all changes are visible to every user. Changes can also be accepted or rejected as desired. To do this, click on the highlighted passage and then select either the checkmark (accept change) or the cross (reject change).
If there are multiple suggestions that you want to either accept or reject altogether, click the change tracking icon again and select the appropriate option from the dropdown menu.
Working together in the editor (real-time collaboration)
Working in parallel with other users in an editor with change tracking enabled, you can also take advantage of another benefit: the ability to follow other users' cursors and all changes made in real time.
When hovering over the "other" cursor, you will also see the name of the user. In addition, the profile pictures of all currently present users are displayed in the upper right corner above the idea.
