Word documents can be included for planning and/or content creation. Word documents can be added in the following places in Communications Control:
- in all briefing fields of the strategy tab (independent of the object)
- in the WYSIWYG editor of all self-defined content types (channels without auto-publishing function)
To make use of the feature, the integration of the Microsoft 365 license is required. This is related to additional costs, which you can ask the support or your Customer Success Manager about.
Currently, we are facing problems with files containing a large amount of images/large images. Microsoft is already working on a solution for this problem, which will be implemented as soon as possible. For this reason, the feature is not available automatically but will be rolled out step by step. If you already want to use the feature, please contact your Customer Success Manager.
Using Word Documents in Communications Control Objects
-
Open the Communications Control object in which you want to include a Word document.
-
In the strategy tab, navigate to the description field or - if it is a self-defined content type - to the editor of the post tab.
-
Click on Use Word for Briefing.
-
Select one of the options to include Word documents (Drag & drop Word file, *Create new Word file or **Choose existing Word file).
-
Connected Word documents can be opened in a new tab and edited by clicking the Open in Office Online button. This is necessary for editing because Communications Control only offers a Read-only option.
-
To remove a Word document from the strategy or post tab and switch back to the standard editor, click Switch back to editor.
-
This will automatically transfer the content of the Word document to the default editor so that no information is lost. You should still press the Save button before leaving the content.
*Create new Word file
If you would like to embed a document that does not yet exist, select the Create New Word Document option (see step 4). A menu opens where you must determine the storage location in the DAM.
If information has already been entered in the default briefing field of Communications Control (CK Editor), it will be transferred to the Word document. To further elaborate the Word document, select the Open in Office Online button.
*Choose existing Word file
If you click the Select existing Word document option in step 4, an asset picker opens where you can select the relevant document. After that, you can use the document in Communications Control and use the Open in Office Online button to edit it.
This option is particularly useful if you or your team have already defined a briefing for a topic in a Word document, for example. This can be uploaded to Communications Control DAM and embedded in the briefing editor of the corresponding topic. This way, further changes can be incorporated via the Word document and still remain visible for all users in Communications Control. In addition, you can export this briefing as a local Word file and share it with colleagues outside Communications Control.
