Who can create events and track responses? Who can add them to emails?
Managing editors can create events and track RSVP responses in the Events Center.
Which events can I add to an email?
You can add online, in-person, hybrid, and Live Broadcast events to emails. Events must be in the same Space as the email.
Can I add an event to an email in a different Space?
No, you can only add events that are in the same Space as the email.
Can I send a Live Broadcast event to recipients who are not part of the target audience?
Only recipients who are included in the Live Broadcast's target audience can access the event. However, you can still include the Live Broadcast event block in emails sent to any recipients, regardless of the event's target audience.
What does the event quick block show in the email?
The event quick block includes the event title, description, location, time, and RSVP buttons Yes, No, and Maybe. For online and hybrid events, it includes the link to join the event.
What happens to the event details if I add another email language version?
When you add another language version to your email, all event details are translated automatically except for the event title and location. These fields remain in the original language to make sure the attendees find the correct location. You can, however, manually translate those details in the event block, if necessary.
Can I add the same event to multiple emails?
Yes, you can add events to an unlimited number of emails.
Can I edit an event after sending it in an email?
Yes, however the previously sent email itself is not updated. If invitees already have a calendar invite for the event, they automatically receive an updated calendar entry when you save your changes. For more information, see Creating and Managing Events in Staffbase Email.
Do recipients still need to download the calendar file after I promote an event?
No, invitees automatically receive a calendar invite in Outlook, Google Calendar, or Apple Calendar as soon as you promote the event. You can still include an optional calendar file button in the email for invitees who prefer to add the event manually. Recipients who downloaded the .ics file manually need to download it again to get the updated details.
Can I cancel an event after adding it to an email?
Yes, as long as the event hasn't started. Canceling automatically notifies invitees and removes the event from their calendars, and moves the event to the archived events list. For more information, see Creating and Managing Events in Staffbase Email.
Can I delete an event after it has been added to an email?
You can delete an event only after it is archived, completed, or canceled. If invitees have a calendar invite, canceling the event automatically removes it from their calendars and sends a cancellation notice. For more information, see Creating and Managing Events in Staffbase Email.
Can recipients change their response to an event?
Yes, recipients can update their RSVP at any time before the event starts. Once the event has started they can no longer update it. If you have scheduled a follow-up email for the event, Staffbase automatically updates the follow-up's audience to reflect any RSVP changes made before it is sent.
What is the Attendees tab?
In the Attendees tab of an event, the system-wide editors and higher can view each recipient's RSVP status and export the attendee list as a CSV file. This includes RSVPs submitted directly in the email and RSVPs submitted using Accept, Decline, or Tentative in a calendar application such as Outlook. You can also use RSVP status to send a targeted follow-up email. For more information, see Sending Follow-Up Emails in Staffbase Email.
Can I send a follow-up email for an event?
Yes, you can turn any email that already promoted the event into a follow-up addressed to that event's audience. For more information, see Sending Follow-Up Emails in Staffbase Email. Sent follow-up emails appear in the event's email table with a distinct follow-up icon.
Can I choose who receives the follow-up email?
Yes, you can target the follow-up by RSVP status: Yes, No, Maybe, or No Response, or send it to all original recipients. You can combine multiple options.
Is a follow-up email for an event sent automatically?
No, a follow-up email is a normal email that you review and send or schedule yourself. Nothing is sent automatically.
Who can create a follow-up email for an event?
The minimum user role required to create a follow-up email for an event is Managing Editor.
