Adding multiple domains to your email setup allows you to manage communications for different brands, departments, or regions from a single account. It ensures clear and consistent branding by using the appropriate domain for each audience. This setup also simplifies administration by supporting diverse sender identities while maintaining centralized control. Admins can add the domains directly through the platform as a self-service without the need to contact support.
Adding a Sending Domain for Your Emails
If your organization does not use AWS as sending service in Staffbase Email, you cannot add additional domains on your own. However, you can request verification for multiple email-sending domains. In this case, Staffbase handles the setup of the additional domain(s) for you. Contact Staffbase Support or your Customer Success Manager for more information.
- In the Studio, navigate to Settings > System Setup > Sending Domain.
- Click Add Domain.

Under Domain URL, enter the domain you want to add.

Click Add Domain.
The domain is added to your domains list with the status Pending.
You have added a sending domain. The domain verification can take up to 72 hours. As soon as it is verified, the status changes to Verified. Now you need to add the DNS records to your domain's DNS server to verify that the Staffbase platform is authorized to send emails on your behalf.
Viewing and Copying the DNS Records of a Domain
After setting up your sending domain, you need to add the DNS records to your domain's DNS server to verify that the Staffbase platform is authorized to send emails on your behalf.
- In the Studio, navigate to Settings > System Setup > Sending Domain the domain for which you want to view the DNS records.
- Click the three dots to open the more options menu.

Click View DNS Records.
The DNS Records open. - Optionally, click the copy icon to copy a CNAME Record from the list.
You have successfully viewed and copied the DNS records of your domain. Log in to your DNS provider and add the DNS records to your domain's DNS server.
Retrying to Verify a Pending Domain
- In the Studio, navigate to Settings > System Setup > Sending Domain > the pending domain you want to retry to verify.
- Click the three dots to open the more options menu.

Click Retry.
You have successfully triggered a verification status check. If the verification is successful, the status changes.
Deleting a Sending Domain for Your Emails
- In the Studio, navigate to Settings > System Setup > Sending Domain the domain you want to delete.

Click the three dots to open the more options menu.
- Click Delete.
- The Delete Sender Address dialog opens.
- Click Delete.
You have successfully deleted a sending domain. Editors can no longer select sender addresses from the deleted domain when sending emails.
