What Are Shared Views?
Shared Views is a setting that allows a group of internal communicators using Employee Email to view and share their collective tracked email data without having to log into different accounts, and enables collaboration on email drafts by default.
With Shared Views Enabled
The following two settings will both be enabled by default, but you have the option to disable either one of them if preferred:
-
Shared Emails - all group members can view the emails sent by members of their group.
Admins and Parent Admins can access all sent emails for their organization.
Only the original owners of the emails can move them into folders or archive them. -
Shared Drafts - all group members can collaborate on new email drafts created by their group by default.
Admins and Parent Admins can access all drafts for their organization, and their drafts are shared with everyone in their organization by default.
You have the option to mark new drafts as private if desired.
When Shared Views is enabled, all drafts created as an Admin or Parent Admin are automatically shared within their own group and across groups and user roles. Everyone will be able to view them. When creating a new draft as an Admin or Parent Admin that you do not want to share, you can select the option Make this draft private. You can manually select who to share with after the draft is created.
Enabling Shared Views
Shared Views can be enabled by any Parent Admin in the Settings page of their Employee Email account.
- Click on your Initials in the upper right-hand corner.
- Click Settings.
- Click Shared Views.
- Click Enable Shared Views.
Both Shared Emails and Shared Drafts will be enabled by default, but you have the option to disable either of these settings if preferred. - Click Save and Update.
Viewing Shared Tracked Email Details
With Shared Views and Shared Emails enabled, you'll see a split in the view on the Emails page, allowing you to separately view emails sent from the account that’s currently logged in, and all of the emails sent by the group.
Shared Emails work for every type of user (from Base Users to Parent Admins).
- Managers and Base Users will see the label Group: followed by the name of their group, as shown above.
- Admins and Parent Admins will see the label All User Emails because they can access all sent emails for their organization.
Only the original owners of the emails can move them into folders or archive them.
Automatically Sharing Email Drafts
With Shared Views and Shared Drafts enabled, Employee Email users who collaborate on email designs can see each others' drafts by default.
When creating a new draft that you do not want to share, you can select the option to Make this draft private.
-
Managers and Base Users will see all non-private drafts within their group.
They will also see any non-private drafts created by an Admin or Parent Admin in their organization. - Admins and Parent Admins will see all non-private drafts for their organization.
