The Staffbase platform allows syncing user group distribution lists from your App or Intranet to your Employee Email, providing enhanced user-friendly functionality. This enables you to seamlessly sync user groups created in the web app or Intranet to the Employee Email contact directory, ensuring efficient communication flows within your organization.
Follow these steps to connect to the integration and sync user groups:

Connecting to the Integration and Selecting User Groups
- In the Studio, navigate to People > Email Contacts.
- From the Import tab, navigate to Add an integration > App and Intranet.
The Connect view opens. - Click Next.
The Groups view opens. - Select the user groups you want to sync to your Email contact directory.
Only contacts with email addresses are synced to the Email contact directory; others are skipped.
- Click Next.
The Mapping view opens.
Mapping Imported Profile Fields
- From the dropdown for each imported field, select the corresponding Staffbase Email field to map the imported data.
- If a field is not available, click Create a new field.
The Create a new field dialog opens.
- Type in a field name and choose the Data Type based on the content.
- Click Create Field.
- Click Skip remaining fields to skip all the fields that you do not want to sync.
You have mapped all selected fields.
- Click Next.
The Exclude view opens.
Excluding Contacts From the Sync
You can filter by specific attributes to exclude individual contacts from being synced to the Employee Email contact directory. If you do not want to exclude any contacts, you can skip this step and click Next.
- Click Add exclusion.
The dialog expands.
- From the Exclude contacts dropdown, select the column with the synced field you want to use to filter the contacts.

- Select the condition from the second dropdown menu. If required, type the value into the third field.
- Click Add exclusion to add another exclusion or click Next.
The Review view opens.
Syncing User Groups From App/Intranet to Employee Email
- Review the user group lists you want to sync to your Email contact directory and the field mappings.
- Click Sync to initiate the contact sync.
You are directed to the Contact > Sources > Integrations view. - Click App and Intranet.
A list of all user groups synced from App and Intranet opens.
You have successfully synced the user group distribution lists from the App or Intranet to the Employee Email contact directory. You can update the sync configuration at any time. Learn more.
Updating the User Group Sync
The synchronized data is automatically updated daily. You can also update the user group contact information manually in the following ways:
- Update sync: This method syncs all changes that were made in the App/Intranet user profiles of the contacts you have previously synced to your Email contact directory.
- Full sync: This method retrieves all users and profile data from the App or Intranet.
This method adds new users and removes users who do not exist in the App or Intranet from the Employee Email contact directory.
- In the Studio, navigate to People > Email Contacts.
- Navigate to Sources > Integrations.
- Click one of the following:
- Sync: To run an update sync
- Three dots > Full Sync: to run a full sync.
The sync starts.
When the sync is complete, the status changes from Importing to Active.
You have successfully updated the user group lists.
