When an employee submits a form, the submission data can go to a system, to a person, or to both. A webhook moves submission data into another system automatically. Email notifications and a recipient question are for when a person, not a system, needs to see or act on a submission. They solve different problems, so use whichever combination fits your form:
- Webhook: Sends every submission automatically to an external system as soon as an employee submits the form, so nobody needs to export, import, or re-enter it by hand. Use it when a submission needs to trigger a workflow in another system rather than notify a person. Paired with an integration service that your technical team builds, a webhook can feed an incident report, HR request, or expense reimbursement form directly into your ticketing, HR, or expense system. Every webhook includes an authentication secret, so the receiving system can confirm that a request came from your Staffbase environment.
- Email notifications: Notify one or more recipients in your organization, such as the editors of the form, every time the form receives a submission.
- Recipient question: Notifies whoever the employee selects from the list in that question about that specific submission. For example, a "Food and Drink" selection notifies the person assigned to that option.
Email notification recipients and the recipient question work independently of each other. You can use either or both. To include the full submission data in the notification email, activate Include Answers in Email in the form settings.
