This is a great option if you know your users' email addresses. Typically you will use company email addresses, but it also works with private email addresses.
The system takes a lot of work off your hands, as it automatically generates the initial passwords and invites users by email. The user can also restore the account directly via the system. This means that very little time or administrative effort is necessary for user management. Since safety-relevant data is exchanged directly between the user and the system, this method has a high security standard.
You can use email onboarding in parallel with all other onboarding methods.
User Data Requirements
Provide the following information for the users:
- Initial password — create an initial password if you have specific requirements or let the system will generate the initial passwords
There is also the highly recommended option to provide:
- Identifier — required for user synchronizations like the CSV import
- First name
- Last name
There is also the option to provide further information such as:
- Location
- Department
- Position
- Additional information you might wish to use with custom profile fields
Enter Users Data in the System
To enable your users to sign in with an email address, you must first create the user data in the system. The following ways work with email onboarding:
- CSV import
- User API
- Manually creating the user in the Studio
Inviting Users to the App
- Import the user data into the system; for example, via CSV import.

Send the invitation emails. For example, during the CSV import, you confirm that you want to send the invitation emails directly after the import.
The invitation email contains:- Name of the app
- Information about how to download the app and the link to the web app
- Registration email
- Personal initial password
How Users Register with the App
- The user opens the app or web app.
- The user enters their email and initial password.
- Optionally, the user confirms your terms of use and/or the privacy policy.
- The user is prompted to create a new password.
- Optionally, the user is asked to complete the profile and enter more information.
At this point, the user has an active account and is able to sign in using their email and new password. The initial password is no longer valid after the first sign-in. There is a recovery flow to reset the password if the user forgets the self-defined password.
How Users Can Reset Their Password
If they forget their password, users can reset it:
- The user opens the app or web app.
- The user clicks the link Forgot password?.
- The user enters their email address and is sent a recovery code.
- The user either follows the link in the email or enters the recovery code directly in the app.
- The user creates a new password.
