How does the new Staffbase Email perform?
The new Staffbase Email will be hosted on Microsoft Azure, one of the most reliable, secure, and stable hosting platforms in the industry. Leveraging Azure’s world-class infrastructure, Staffbase Email eliminates stability challenges experienced with Email Classic.
Built on the same robust operating platform as the Staffbase Studio, Staffbase Email seamlessly integrates into our enterprise-grade Employee App and Intranet solutions, delivering a dependable experience for all our email customers.
Will the Staffbase Email workflow be different?
Staffbase Email retains the user-friendly email designer and structure that you loved in Email Classic, while introducing a refined workflow, powered by user research insights from our global customer base. Staffbase Email streamlines the entire process from creation to sending. New features like Generative AI and an intuitive Editorial Calendar enhance collaboration and improve communication planning.
Security FAQs
Where is the solution hosted?
The solution is hosted in a public cloud. Staffbase uses Microsoft Azure servers located in the United States, Europe, or Australia. Azure facilities comply with ISO 27001 and SSAE-16 certification standards.
Will my company’s data remain hosted in the same region as it is currently?
Yes, your data will remain hosted in your region of choice, the US or Germany. For Staffbase Email, Staffbase also offers hosting in Australia. If you want to change your hosting location, contact your Customer Success Manager to discuss the options. Otherwise, your data will remain in the current hosting location.
What encryption mechanisms does Staffbase Email use?
All communication over public networks is encrypted using HTTPS with Transport Layer Security (TLS 1.2). Data at rest is encrypted using AES256.
What is the backup schedule for Staffbase Email?
As a SaaS platform, Staffbase performs daily encrypted backups on all relevant systems and stores these backups up to a month for incident-based recovery. All production systems of Staffbase run in at least dual-mode to enable fast failover. Our hosting providers use different hosting locations. This results in our backups being stored in a different location than the production environment. Nonetheless, your platform's backup data will stay in the chosen hosting region (US,DE, or AU).
What solution do you use for system monitoring?
Staffbase does not use a branded SIEM solution. Instead, we use Klogs and Kobs for fine-granular monitoring of all services and clusters.
What security measures are applicable to Staffbase Email?
All Staffbase Technical and Organizational Measures (TOMs) outlined in Annex III of our DPA apply to Staffbase Email. Staffbase ISO 27001 certification also extends to this product.
What Intrusion Detection System/Intrusion Prevention System solution is used for Azure?
Staffbase uses Fastly and follows Azure best practices.
What is the system availability SLA?
Staffbase SLA of 99.9% uptime applies to Staffbase Email.
What is the system RPO and RTO?
The defined RPO is eight hours and the RTO is 24 hours.
What tenancy mode is used?
Staffbase Email is hosted in a multi-tenant environment. Your data is logically segmented, encrypted, and isolated at the application level using Staffbase built-in SaaS logic. The environment is hardened to ensure separation between different tenants.
Does Staffbase Email use any AI foundation models?
Yes. Staffbase Companion, an editor tool, uses OpenAI’s LLMs hosted on Microsoft Azure infrastructure. No training is conducted on your data. Staffbase uses generative AI to suggest email subjects or preview texts. You can edit or discard the generated suggestions from Staffbase Companion.
Is there a SOC 2 Type II report for Staffbase Email?
Not yet. While most of the Staffbase Email resources, such as databases, are similar to Employee App/Intranet, described in our current SOC 2 Type II report, a report specific for Staffbase Email is yet to be issued.
We expect to receive a new SOC 2 Type II report, including all Staffbase products in Q4 2025.
However, the ISO 27001 certification covers Staffbase Email as well.
Can I conduct my own penetration testing?
Yes, you may perform one penetration test per year after receiving written approval from our Security team.

Is Staffbase Email included in the bug bounty program?
Yes.
