It takes time, effort, and teamwork to create captivating news which engages your employees. You can use the Content Reviews feature in news posts to easily discuss ideas request feedback, or seek approval. It is available for all news channel types.
Post creators can invite collaborators to their content by sharing the news post. Invited collaborators will receive access via email, and can then leave comments on the news post, in the Review tab within the Studio.
With advanced Content Reviews, you can:
- Comment and see others' comments
- Edit comments
- Delete comments
- Mention users by typing @ followed by their username
- Assign tasks to users
- Request approvals from users
- Receive email notifications about new comments and mentions
Commenting on News Posts in the Review Tab
In the Review tab, you can leave feedback on news posts by adding new comments or replying to existing ones. This ensures a clear and structured comment history.

In the Studio, navigate to the news post you want to comment.

Click inside the comment box and write your feedback.

Click Comment.
You have added a comment to the Review tab of a news post. The creator and all other reviewers can see your comment. The post creator will receive an email notification of your new comment.
You can only reply to comments if an initial comment is already available. Within comments in a thread, you can @mention colleagues, but you cannot use the task assignment or approval request features.

Editing Comments on News Posts in the Review Tab
In the Review tab, you can edit your submitted comments to correct spelling mistakes, update your feedback, or refine your thoughts. This ensures a clean and coherent review thread.
You can edit your own comments only if that have not yet received a reply. Once a comment has been replied to, it can no longer be edited. Within a thread, only the most recently added comment can be edited.

In the Studio, navigate to the news post in which you want to edit a comment.

Click the three dots.
- Click Edit.
The comment box opens in edit mode. - Edit your comment.
- Click Save.

Deleting Comments on News Posts in the Review Tab
In the Review tab, you can delete whole threads or single replies.
You can only delete your own comments.
- In the Studio, navigate to the news post in which you want to delete a comment.
- Navigate to the Review tab.
- Navigate to the comment you want to delete.
- Click the three dots.
- Click Delete Thread or Delete Reply.
The Delete Thread? or Delete Reply? dialog opens. - Click Delete.
You have permanently deleted a thread or reply in the Review tab of a news post.
Using @Mentions in Comments
The @mentions function allows you to tag your colleagues in the Review tab of news posts. Mentioned users receive an email, making the review process as fast and streamlined as possible.
Prerequisites
- You have the mentioned user, individually or as part of a user group, included in the Visibility field selection of the Space to which the channel and news post belong.
- You have the mentioned user, individually or as part of a user group, included in the Visibility in the App field selection of the channel to which the news post belongs.
- You have the mentioned user invited to the news post using the Share function.
If the visibility requirements are not met, the user is not shown in the dropdown menu when typing @ followed by their name. This includes users with system-wide permissions, such as Editors, Managing Editors, and Administrators. If the visibility requirements are met but the user has not been invited to the News post, they receive an email regarding the @mention. But the link in the email opens to an error page.
- In the Studio, navigate to the news post you want to mention a colleague in.
- Navigate to the Review tab.
- In the comment field, type @ followed by the username.
A list with suitable users opens.
- Select the user you want to mention.
- Optionally, write further instructions in the comment field.
- Click Comment.
The comment appears below the comment field.
You have mentioned a user in a comment in the Review tab of a news post. The user receives an email informing them about the mention. The email includes a link to the news post.
Assigning Tasks in Comments
Assigning tasks to collaborators in the Review tab ensures the best possible collaboration during news post creation.
Incomplete tasks do not block a post from being published.
- In the Studio, navigate to the news post you want to assign a task to.
- Navigate to the Review tab.
- In the comment field, type @ followed by the username.
A list with suitable users opens.
- Select the user you want to mention.
- Optionally, write further instructions in the comment field.
- Select the option Assign to [username].
When assigning tasks, only one user can be mentioned.
- Click Assign.
The comment appears below the comment field.
You have assigned a task to a user. The assigned user receives an email informing them about the assigned task. The email includes a link to the news post.
After completing an assigned task, the reviewer cannot mark it as done.
Requesting Approvals in Comments
Content approvals ensure consistency with organizational standards, enhancing the quality of published posts. Within the Review tab, you can request approvals from responsible users with just one click.
Incomplete approvals do not block a post from being published.
- In the Studio, navigate to the news post you want to request approval for.
- Navigate to the Review tab.
- In the comment field, type @ followed by the username.
A list with suitable users opens.
- Select the user you want to mention.
- Optionally, write further instructions in the comment field.
- Select the option Request approval from [username].
When requesting approval, only one user can be mentioned.
- Click Request.
The comment appears below the comment field.
You have requested approval from a user. The assigned user receives an email informing them about the approval request. The email includes a link to the news post.
Approving or Rejecting Approval Requests in Comments
- In your email inbox, navigate to the email you received regarding the news post and click Open.
The news post opens in a new tab. - Navigate to the Review tab.
- Navigate to the comment with the requested approval.

The Approve Request? or Reject Request? dialog opens. - Click Approve or Reject.
You have granted or rejected approval in the Review tab of a news post. The user who requested your approval receives an email about its outcome.
