Staffbase Email offers tracking and reverting changes, an essential feature for quality control and team collaboration. Email versioning allows users to track changes and revert to previous versions of email drafts and templates. This ensures content can be reviewed, restored, and safely managed throughout the editing process. All email editors can view and restore all available versions, providing transparency and accountability during the content development process. Whether correcting mistakes or restoring an earlier version for reference, versioning enables reliable and efficient content management.
Is the version history the same across all language versions?
No. The version history is distinct for each language version of an email draft.
What does each version contain?
Each version includes:
- The content status of the draft at the time of saving
- The date and time of saving
- The name of the user who saved the version
- Any fallback texts added in case the draft uses profile field personalization tags, such as first and last name
What is included in an email version?
Email versions only capture the content of the email draft, including the body text, images, and layout saved at that time.
What happens if a file used in an email is deleted from the file manager?
Deleted files, such as images, will no longer be visible in the version history of drafts or templates where they were previously used. This means that even if you restore an older version of the email, any removed files will not appear in the restored content.
What is not included in an email version?
An email version does not include metadata such as email title, subject line, preview text, audience, or attachments.
What happens to version history when saving, creating, or duplicating drafts and templates?
In all three cases—saving a draft as a template, creating a draft from a template, or duplicating a draft or template—only the latest version of the content is used. The version history is not transferred or carried over.
- When you save a draft as a template, only the most recent version is saved; the draft's version history is not included in the template.
- When you create a draft from a template, it uses only the latest template version; no template version history is inherited.
- When you duplicate a draft or template, only the current content is copied; version history is not preserved.
Can I preview email versions before restoring them?
Yes, users can preview all available versions before deciding to restore one.
What is the current version?
The latest saved version is the current version. If you're editing content and open the version history without manually saving, the content you're editing is automatically saved and shown as the current version in the history.
Why is the Restore button not available?
The restore option is only active when previewing a version other than the current one.
Can I restore multiple language versions of an email draft at once?
No, only one language version of a draft can be restored at a time.
Can I restore a deleted language version of a draft?
Yes, deleted language versions can be restored.
What happens if I re-add a deleted language before restoring it?
The restored version will overwrite the newly added content in that language.
Example: If the English version is deleted, then re-added, and the original English version is restored, the newly added content will be replaced.
What happens to the version history if I re-add a deleted language?
When the same language is added again after deletion, the version history continues from the original deleted version, not from scratch.
Is a new version saved automatically after restoration?
Yes, restoring a version automatically saves it as the current version.
What happens if restoration fails?
Users will receive an error message indicating that the restoration failed.
Can I restore versions of a language that was removed from the content languages?
Yes, you can restore versions even if a language was deleted from the content languages.
How can I permanently remove a language version?
Delete the entire draft. Deleting just the language from the draft or template UI does not delete its version history.
What if a language is deleted from the content languages?
Removing a language from the content languages list does not affect the draft. All versions in that language remain available in the version history.
