Office 365 and SharePoint Online provide essential functions for document and metadata management. With this new and easy integration, the Staffbase platform acts as a central entry point connecting both Office 365 and SharePoint Online forming a seamless digital workplace.
You can now display documents from Office 365 in your employee app. You can view your most recently opened documents or files from a selected SharePoint Online document library (filtered and sorted if required) of any SharePoint Online site within Office 365. The SharePoint Online files are displayed in the employee app, but when users open a document, they are redirected to Office 365. This integration makes the Staffbase platform an entryway to the digital workplace without interfering with the core functionality of your collaboration systems.
Installation and Configuration of Office 365 Files Plugin in Staffbase
- The first time you install the plugin, you need to have the Global Administrator (Office 365) role.
- Once the installation is successful, all further instances of the Office 365 File list can be added and configured by regular Office 365 users.
- Contact Customer Success Manager to activate the Office 365 Files plugin.
Adding the Office 365 Files Plugin to Your App
- In the admin interface, navigate to Add plugin.
- Click Install for the Office 365 Files plugin.
The plugin is installed.
It automatically opens the dialog to add the first File List Add File List.
- Provide a title for the file list and set the visibility.
- Click Add File List.
You have added the Office 365 Files plugin and your first file list. Later, you can add more file lists.
Granting Permission to Access SharePoint Online via the App
The first time you access the plugin, you need to grant access permission for your app.
- You need to have the role Global Administrator (Office 365) in SharePoint Online to grant permission.
- In the admin interface, open the Office 365 File list you created.
The Office 365 Sign in page opens.
- Click Sign in and follow the steps to sign in to your Microsoft account.
Ensure to select the checkbox for Consent on behalf of your organization and click Accept.
- Go back to the tab, which has the admin interface open, to further configure the Office 365 File list you created.
Configuring the Office 365 Files Lists
You can configure the way in which the SharePoint Online files are shown in your app. For each file list, you can select one of the following:
- Specific library
- Show SharePoint Online files from a library of any SharePoint Online site.
- Recent files
- Show the files that were most recently modified or viewed in SharePoint Online and OneDrive.
Configuring a Specific Library of Files
- You need to be signed in to Microsoft Office to configure the settings.
- In the admin interface, open the Office 365 File list you created.
- Ensure that you are signed in to Microsoft.
- Select the list type Specific library.
- Click Next.
- Click the Specific library drop-down menu and select a website and library.
- Define column visibility, sorting order, and the number of files to be shown.
- Click Save.
Configuring a List of Recent Files
- You need to be signed in to Microsoft Office to configure the settings.
- In the admin interface, open the Office 365 File list you created.
- Ensure that you are signed in to Microsoft.
- Select the list type Recent files.
- Click Next.
- Define column visibility, sorting order and number of files to be shown.
- Click Save.
Publishing the Office 365 File List in the App
- In the admin interface, navigate to the Office 365 File list you want to publish.
- Click Publish Office 365 File List.
What does the Office 365 File List look like for my employees?
On a mobile device, the Office 365 File List is opened in the in-app browser:

When you use your employee app in the internet browser, the Office 365 File List is integrated in the web app. In this example, recent files are shown.
