Connect your Staffbase and Sharepoint platforms by synchronizing news created in SharePoint to a news channel in your Staffbase platform. After installing and configuring the Staffbase News Sync for SharePoint, lists and libraries from a SharePoint site will be synced automatically to the Staffbase news channel of your choice. This ensures your content is accessible to your users on both SharePoint and your Staffbase platform.

Installing the Staffbase News Sync on a SharePoint Site
Prerequisites
- You must be a Site Member to install the app on a SharePoint Site.
- In Sharepoint, navigate to the SharePoint Site from which you want news to be synced to your Staffbase employee app.
- Navigate to Site Contents.
- Click +New and select App from the dropdown menu.
- Click SharePoint Store.
- In the SharePoint Store, search Staffbase News Sync.
- Click Staffbase News Sync.
A detailed page on the Staffbase News Sync opens. - Click ADD IT.

Configuring Staffbase News Sync in Your Staffbase Platform
After installing the Staffbase News Sync in SharePoint, you will need to set up a few things in the Staffbase platform before a connection can be established:
- To establish access between your SharePoint and Staffbase platforms, you need to generate an API token with editorial access.
- SharePoint news will be synchronized to one of the news channels in your Staffbase platform. If you want SharePoint content to be synced to an existing news channel, no further setup is required. If you want your SharePoint content to be displayed in a dedicated news channel, create a news channel of type Article.
Configuring Your First Connection in SharePoint
Now that you have generated an API token in the Staffbase platform, you can configure your first connection to synchronize content from a SharePoint Site to a news channel in your Staffbase employee app. Once this connection has been configured, content created by SharePoint editors will be automatically synced to your employee app.
Supported SharePoint sites and list formats
The following SharePoint site templates and list types are currently supported for the Staffbase News Sync:
The Staffbase News Sync does not support the use of news links with the communication site template at this time.
- In SharePoint, navigate to Site Contents and open Staffbase News Sync.
A dialog opens. - Select your hosting infrastructure:
- If your app is hosted in the US American data center, select backend.staffbase.com.
- If your app is hosted in the German data center, select de.staffbase.com.
- Under Add API Key, paste the API token previously generated in your Staffbase platform.
- Click Verify.
- Click New Connection.
- Select the SharePoint list or library you want to sync from.
- Select the news channel from your employee app to which you want your SharePoint content to be synced.
Only channels of type Article can be selected for the News Sync. - For each of the Staffbase news article fields, choose a corresponding SharePoint field from the dropdown menu.
The Staffbase News Sync does not offer a preview function. To find the optimal output for your news, we recommend setting up a test channel in your Staffbase platform to test and tweak different mapping settings.
Here is one example of how your SharePoint content can be configured to display in Staffbase: - Optionally, enable the toggle Use Filter for connection to configure a filter for this connection. This allows you to sync, for example, only certain content formats.
- Click Save.
Your connection has been established. The next news published in the synchronized SharePoint channel will be automatically posted in the corresponding news channel in your Staffbase platform.
You can return to this page to edit or delete this connection at any time.
Understanding How SharePoint Content Will Be Displayed in the Staffbase Platform
Staffbase News Sync does not support the synchronization of the following content types:

Social interactions, such as likes and comments

Multi-language content
Content will always be synched in the default language of the SharePoint site.

Adding a New Connection
With the Staffbase New Sync for Sharepoint you are not just limited to syncing SharePoint news to one Staffbase channel, but you can set up a variety of connections to different new channels in your employee app.
- In SharePoint, navigate to Site Contents.
- Click Staffbase News Sync.
- Enter the same API key used to set up the Staffbase News Sync with SharePoint.
- Click New Connection.
The configuration settings for the new connection will display after any existing connections. - Continue with configuration as usual from step 6.
Synchronizing Existing SharePoint Content
By configuring a connection, only new content will be synced to SharePoint, but it is possible to synchronize all older posts from a particular SharePoint list in one bulk action. This action will take into account any filters that have been configured for a given connection and sync all contents that meet the defined criteria.
- In SharePoint, navigate to Site Contents.
- Click Staffbase News Sync.
- Enter the same API key used to set up the Staffbase News Sync with SharePoint.
- Navigate to the connection you want to synchronize.
- Click Synchronize all.
